Plain English summary: We collect only what we need to run ServiceSync. We don't sell your data. Your job records, notes, and business information belong to you.
1. Information we collect
Account information
When you register for ServiceSync, we collect your name, email address, company name, and a hashed password. We never store passwords in plain text.
Job and work data
ServiceSync stores the data you enter while using the app, including job notes, timesheets, stock records, invoices, quotes, refrigerant logs, and checklists.
Location data
With your permission, ServiceSync uses your device location to automatically log timesheets when you arrive at and leave job sites. See Section 7 for full details.
Device information
We collect device push notification tokens to send you job alerts and approval notifications. We do not collect device identifiers for tracking purposes.
Usage data
We collect basic usage logs to diagnose errors and improve the app. These logs do not contain your personal job data.
2. How we use your information
We use the information we collect to:
- Provide and operate the ServiceSync platform
- Send job notifications and quote approval alerts
- Process subscription payments via Stripe
- Send team invite emails via Resend
- Diagnose technical issues and improve the app
- Comply with legal obligations
We do not use your data for advertising, and we do not sell your data to third parties.
4. Data storage and security
Your data is stored on DigitalOcean servers located in Sydney, Australia. We implement the following security measures:
- Passwords are hashed using bcrypt before storage
- All data is transmitted over HTTPS
- Database backups are taken daily and retained for 7 days
- Access to production systems is restricted to authorised personnel only
No method of transmission or storage is 100% secure. We take reasonable steps to protect your data but cannot guarantee absolute security.
5. Data retention
We retain your data for as long as your account is active. If you cancel your subscription and request account deletion, we will delete your data within 30 days, except where retention is required by Australian law (for example, financial records).
6. Your rights
Under the Australian Privacy Act 1988, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and associated data
- Opt out of non-essential communications

7. Location data
ServiceSync requests access to your device location to power automatic timesheet logging — when you arrive at a job site, your timesheet starts automatically, and when you leave, it stops.
Location access is requested as "Always On" so this can work when the app is in the background. You can revoke location permission at any time in your device settings, but this will disable automatic timesheet logging.
Location data is used only to trigger timesheet events. We do not track or store a continuous history of your movements.
8. Children's privacy
ServiceSync is a business tool intended for use by adults. We do not knowingly collect personal information from anyone under 18 years of age.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or through an in-app notification. Continued use of ServiceSync after changes take effect constitutes acceptance of the updated policy.
